AI for small business means applying artificial intelligence to a specific business problem, in a business with the foundations to use it well, so it saves time and sharpens decisions rather than adding another subscription. What follows is a practical, honest guide: what AI can do, what it can't, where to start and what it really costs. From a balanced perspective grounded in a passion to help people help themselves. No hype or tool worship.

What this guide covers

It's not about the tool

Most guidance starts with which tools to use. We believe that is the wrong starting point, as a tool is only useful when set against a real problem, in a business ready to use it well.

Start with the problem and the readiness, and the tool becomes obvious. Start with the tool, and you usually end up with a (or multiple) subscription you don't get the best use of.

This is the difference between experimenting with AI and using it. Experimenting is trying tools to see what happens. Using it is applying AI deliberately to something that matters, with the judgement to know when it is working and when it is not. AI adoption is not the goal. AI capability is.

Start by understanding what you are working with

Before you choose anything, it helps to understand what AI actually is and what it realistically does.

Decide whether it is right for you, yet

AI is not equally worth it for every business at every stage. These help you judge honestly.

Get ready first

AI amplifies what is already working in a business, and what is not. Readiness comes first.

Work out the order to build in

There is an order that holds for most small businesses, and following it is what turns a list of tools into something closer to a roadmap.

Use it responsibly

This is important, especially if you work in complex industries or have aspirations to, or if the impact of your decisions on others matters to you.

How to use it

Once you understand what AI can do and your foundations are in place, the real question is where to point it first.

Start narrow, on one genuine opportunity or task, and keep a person reviewing the output.

For most small businesses the early wins sit in a few familiar areas:

When it comes to choosing what to use, start from the job rather than the hype. Prove the value on one task, then widen out.

Where to start

The simplest first step is our free video series, Introduction to AI for Small Business. It is a series of short videos presented by our CEO Sam Hurley, and it comes with an AI ethics checklist and an AI use policy template you can adapt for your business. No cost, and we will not fill your inbox.

If you would rather we send you one clear, useful piece of thinking at a time, subscribe to the newsletter.

When you are ready to see where AI fits in your specific business, the Capability Snapshot gives you a personalised read on your business capabilities and AI readiness in less than ten minutes.

If you would rather have the map documented for you, the AI Opportunity Mapping Session is a 60-minute conversation with Sam and a written account of where the opportunity sits in your business.

Not tools. Capability

We use AI tools every day, and we will help you use them well. But tools aren't really the advantage (and change far too quickly!). The businesses that win with AI are the ones that build the capability to use it intentionally, govern it sensibly, and stay clear about its cost. That capability stays with you long after any single tool is replaced.

Get the result you need now, and build the capability to keep getting it.

Frequently asked questions

What is AI for small business? It means applying artificial intelligence to a specific business problem, in a business with the foundations to use it well. In practice that is drafting and reviewing writing, summarising, searching your own knowledge, and supporting decisions with a person still doing the judging. The value comes from the capability to use it deliberately rather than from the tool.

How can small business owners use AI to plan their next steps? Start with the problem rather than the tool. Name the one task or decision that costs you the most time or the most rework, check whether the foundations around it are in place, then apply AI to that single thing and keep a person reviewing the output. Prove the value on one task before widening out.

Is there an AI roadmap for a small business? There is an order, which is the useful version of a roadmap: understand what AI does, decide whether it is worth it at your stage, put the foundations in place, get your own knowledge into a usable form, then point AI at one narrow job with governance around it. In what order should a small business adopt AI? sets out the sequence.

Where should a small business start with AI? With readiness rather than with a tool. Is your business ready for AI? gives you an honest read on where you stand, and What to put in place before you use AI covers the foundations that decide whether AI helps or harms.

Is AI worth it for a small business? For most, yes, though not at every stage and not for every task. The returns come from applying it to a defined problem in a business ready to use it; the costs are the subscription, the time to learn it, and the rework when it is used without review. Is AI worth it for a small business? works through both sides.

How to use AI in a small business

A small business uses AI best by pointing it at one real task it already does: drafting admin, repurposing marketing, answering customers faster, analysing what is working. The value comes from a person checking every output, and from starting with one task rather than a pile of tools.

BLOG 02

What can AI do for a small business?

AI is very good at language tasks: drafting, summarising, rewriting, answering questions and spotting patterns in text. It is unreliable at judgement, factual accuracy and anything that needs context it was not given. Knowing which side of that line a task sits on is the difference between AI helping you and AI causing problems.

BLOG 03

Is AI worth it for a small business?

For most small businesses, yes, when AI is pointed at one specific, repetitive task inside a process that already works. Not yet, when it is bought because everyone says to. The subscription is the smallest cost. The return is measured in hours back and better decisions, and only the businesses that count it actually see it.

BLOG 04

Is it safe for a small business to use AI?

AI can be safe for a small business with a few basics in place: know where your data goes, keep sensitive information out of public tools, and set simple rules for your team. The risks are real but manageable. Most are covered by a short AI use policy and a habit of reviewing output before you rely on it.

BLOG 05

Is your business ready for AI?

A business is ready for AI when four things are in place: clean-enough data and a documented process, a specific problem worth solving, the capability to judge the output, and light governance for how AI is used. If any is missing, that is where to start before the tools.

BLOG 06

What to put in place before you use AI

Before you use AI, put five foundations in place: a solid strategy, a specific problem to solve, organised information, simple repeatable processes, and basic rules for data and review. AI amplifies whatever is already there, good or bad, so these foundations decide whether it helps or compounds the mess faster.

BLOG 07

AI governance for a small business, without the bureaucracy

AI governance for a small business needs three things: a short AI use policy, a few clear rules about data, and the habit of reviewing AI output before it is used. That is enough to keep a small team safe and consistent, without the bureaucracy a large organisation carries.

BLOG 08

The real cost of AI in business

More than the subscription. Behind every prompt sits an energy and water cost, behind every tool a question of where your data lives, and behind every poor use the cost of getting it wrong. Here are the four costs that matter, and the habits that keep them honest.

BLOG 09

Responsible AI for a small business: a practical guide

A small business uses AI responsibly by keeping four commitments: protect people's data, be honest about when AI is involved, keep human judgement in charge of decisions that affect people, and stay mindful of AI's environmental cost. Responsibility and benefit do not have to conflict; the considered user aims for both.

How to use AI for small business marketing

Use AI in marketing to generate ideas, draft posts and emails, repurpose one piece of content into many, and plan a content calendar. It works best as a drafting partner, with you keeping the brand voice and reviewing everything before it goes out. The strategy and the judgement stay yours.

How AI can save time on admin in a small business

AI can save a small business hours each week on admin by drafting emails and documents, summarising long threads and meetings, organising information and handling repetitive writing. It works best on routine, low-risk tasks, with a quick human check before anything important goes out. The aim is to free the owner for the work only they can do.

BLOG 12

How to use AI for customer service in a small business

Use AI to draft replies, speed up routine responses and build first-pass FAQs, while a person keeps charge of judgement, tone and care. AI handles the routine and the drafting; humans handle the moments that build or break trust. The personal relationship is your advantage, and AI should protect it.

BLOG 13

An introduction to AI for small business

Start by understanding how AI actually works before you choose any tool. A small business that grasps the basics, meaning what AI, machine learning and large language models are, how they are trained, and where they go wrong, makes far better decisions than one that starts with software. This page covers those foundations in plain language.

BLOG 14

What is local AI for a small business, and is it worth it?

Local AI is an AI model that runs on hardware you control, so your data never leaves the business. It is worth it when you do repetitive, defined work on sensitive or proprietary data often enough to feel the per-use cost of cloud tools. For occasional general use, cloud AI remains the easier choice.

BLOG 15

What order should a small business adopt AI in?

Foundation first, workflow second, tools last. Most AI disappointment comes from running that order in reverse, buying the tool before the underlying work is clear. AI multiplies whatever sits underneath it, so a modest tool on a clear process will outperform a powerful tool on a messy one, every time.

BLOG 16

Will AI actually work in a business like mine?

Probably, although possibly not yet, and the deciding factor is rarely your industry. AI works where there are decisions and knowledge written down for it to draw on. More than half of Australian small businesses that have not adopted AI say it is not relevant to them, and relevance usually turns out to be a question of foundations.

What is AI, machine learning and an LLM, and how do they differ?

Artificial intelligence is the broad field of software doing work that would normally need human intelligence, machine learning is the main method used to build it, and a large language model is a machine learning system trained to predict language. So an LLM is a kind of machine learning, and machine learning is a kind of artificial intelligence.
